How to Create Email Addresses from Names in Excel

Generate company email addresses from first and last names — including names with spaces and apostrophes — using one domain cell.

You will learn to

  • Build first.last@domain addresses
  • Use a different naming pattern
  • Strip spaces and apostrophes that are invalid in addresses

How it works

Most companies build addresses from a pattern such as first.last@domain. In Excel: =LOWER(A2&"."&B2)&"@"&$B$9, where B9 holds the domain. Keeping the domain in its own cell means you can switch it for a subsidiary or a test environment without editing any formulas.

Real names need cleaning first. Spaces ("Van der Berg") and apostrophes ("O'Connor") are not allowed in the part before the @, so remove them with SUBSTITUTE before joining: SUBSTITUTE(SUBSTITUTE(B2," ",""),"'",""). Always check the final list for duplicates — two people called John Smith will get the same address.
